Administrative Assistant - Volunteer Engagement

Position Description

This part-time, non-benefited position handles a wide range of administrative and volunteer management related tasks to support the Director of Volunteer Engagement in achieving the program's goals. Regular business hours with some evening and weekend work required for events; excluding holidays. Key responsibilities include supervision of the volunteer office support team. This assistant helps to ensure compliance of standards of the Child and Youth Protection Charter and volunteer record keeping, while maintaining the values of Catholic Social Teachings.

As a ministerial representative of CCEOK, it is expected that both professional and social behavior be aligned with the ethical and moral standards of the Catholic Church.

Tasks

  • Pray daily for the needs of the poor; opportunities include personal prayer, daily Mass, and/or adoration
  • Prioritize and respond to phone calls, emails, messages and mail from external and internal persons.
  • Maintain department calendar for Catholic Charities campus
  • Assist the Director in coordinating and facilitating a variety of orientations, training, evaluations, and special events
  • Coordinate and maintain Administration & Education front desk schedule & staffing, including their initial and ongoing training
  • Facilitate onboarding processes for volunteers as well as their placement with a department
  • Assist program coordinators/leaders in engaging and retaining recurring volunteers, and identify potential leadership volunteers
  • Create and update written program policies and procedures that create a safe and secure environment, aligned with the standards of the Child and Youth Protection Charter
  • Other duties as assigned

Education Requirements 

  • Bachelor’s Degree in Management or equivalent 5 years of work experience

Key Skills

  • Relationship management and strong interpersonal skills
  • Experience building and utilizing leadership volunteers
  • Event coordinating experience helpful
  • Ability to prioritize and manage multiple tasks and responsibilities and meet deadlines
  • PC literate with PowerPoint, Word, Excel, Outlook
  • Excellent written and verbal communication, customer service and presentation skills - must be comfortable with public speaking and giving constructive feedback to volunteers
  • Ability to lift 20 lbs., bend, stoop, sit and stand for long periods of time.
