Administrative Assistant - Volunteer Engagement

Reports to: Director of Volunteer Engagement

Position Description

This part-time, non-benefited position handles a wide range of administrative and volunteer management-related tasks in a team environment to support the volunteer staffing needs of Catholic Charities of Eastern Oklahoma. Daytime hours with some evening and weekend work required for events; excluding holidays.

As a ministerial representative of CCEOK, it is expected that both professional and social behavior be aligned with the ethical and moral standards of the Catholic Church.


  • Pray daily for the needs of the poor; opportunities include personal prayer, daily Mass, and/or adoration
  • Assist Director of Volunteer Engagement as needed in all volunteer related functions of the organization
  • Intercept and prioritize phone calls, emails, messages and mail from external and internal persons for the volunteer office
  • Assist Director of Volunteer Engagement in coordinating and facilitating a variety of volunteer orientations, trainings, Cooking Up Compassion, Volunteer Appreciation Dinner and Days of Blessings
  • Facilitate onboarding processes for volunteers as well as their placement with a department, ensure every volunteer is scheduled for their first day, and facilitate first day process
  • Serve as contact person for all service groups requesting service projects
  • Contact person for all AARP volunteer program needs responsible for sending participant’s timesheets and bubble sheets bi-weekly
  • Follow up with and assist program coordinators/leaders in engaging and retaining recurring volunteers, and work with program leaders to identify potential leadership volunteers and develop their experience
  • Maintain volunteer department calendar for CCEOK campus and maintains Volgistics volunteer database
  • Other duties as assigned

Key Skills

  • Experience in volunteer management, human resources, professional recruitment or training a plus
  • Interpersonal skills with strong problem solving and decision making abilities
  • Excellent written and verbal communication, customer service and presentation skills; must be comfortable with public speaking and giving constructive feedback to volunteers
  • Accuracy and detail oriented with ability to maintain confidential information and records.
  • Ability to lift 20 lbs., bend, stoop, sit and stand for long periods of time.
  • Advanced computer skills, especially MS Word, Excel, Outloo; experience with Volgistics software a plus
