Bilingual Evening Administrative Assistant - Adult Education

Position Description

This part-time non-benefited position provides support to the Adult Education program as outlined below. All tasks and responsibilities will follow organizational policies and procedures in a Christ-like manner with love and compassion. Inspired by Christ’s merciful love, the purpose of the St. Katherine Drexel Adult Education Program is to provide a safe, compassionate, and understanding environment for students to gain the knowledge and skills they need to go out into the world and contribute in a meaningful way. 


  • As a ministerial representative of CCEOK, it is expected that both professional and social behavior be aligned with the ethical and moral standards of the Catholic Church 
  • Pray daily for the needs of the poor; opportunities include personal prayer, daily Mass, and/or adoration
  • Willingness to learn how to articulate Catholic teaching with a commitment to its application in the job function
  • Build a common culture of ministry and management/program operations


  • Assist students in the enrollment process
  • Conduct student HiSET diagnostic assessments, grading and provide class placement
  • Administer pre-testing and post-testing to effectively evaluate student’s performance
  • Act as a proctor during HiSET exams throughout the year – day, evening and weekend
  • Prepare HiSET exam materials in advance of testing
  • Assist with volunteer orientation(s)
  • Support volunteer instructors with classroom needs
  • Assist with graduation preparation and day-of service activities
  • Support outreach sites with administrative tasks, enrollment and testing
  • Maintain classrooms by ensuring they are clean and stocked with adequate supplies
  • Assist with hospitality, including stocking and maintaining the cleanliness of hospitality area
  • Manage incoming mail through sorting, scanning, renaming and uploading to internal system

Data Management and Communication

  • Utilize LACES for data entry of demographics, attendance, test scores, etc. 
  • Scan and upload student records to their record in LACES
  • Assist students at the front desk during the evening
  • Answer departmental phone, email and texts


  • Follow policies and procedures concerning finance and facilities
  • Achieve measurable program and individual goals as mutually agreed
  • Ensure the program is implemented consistent with the teaching of the Catholic Church
  • Other related duties as assigned by management


  • Requires a high school diploma, associate's degree preferred
  • Bilingual in English and Spanish
  • Proficient in MS Office
  • Strong relational management, organizational and interpersonal skills
  • Excellent problem-solving and planning skills
  • Night and weekend involvement in the program will be required
  • Ability to lift 20lbs., bend, stoop, sit and stand for extended periods of time
