Director of Finance & Accounting

Job Type: Non-Ministerial

Reports to: Chief Financial Officer

POSITION DESCRIPTION

This full-time, benefited position maintains a complete, up-to-date systematic record of accounts and financial transactions. The Director takes ownership of all accounting processes for Catholic Charities and its programs, ensuring that journal entries and subsequent reports are timely and accurate.

LEADERSHIP

  • Direct a team of finance professionals in the daily operations of Catholic Charities, cultivating a close working relationship with each team member
  • Assess new opportunities and collaborate with the finance team and relevant programs
  • Provide training as needed across the organization
  • Acquire continuing professional or technical education beneficial to the enhancement of job performance
  • Perform annual staff performance reviews

 

FINANCIAL REPORTING

  • Review and approve journal entries necessary for the monthly and annual close
  • Lead preparation of period financial statements for financial reporting to management and the Board
  • Prepare quarterly balance sheet reconciliation and variance analysis
  • Lead the annual audit process, coordinating schedules with auditors and the finance team, and serving as liaison during the annual audit

 

TREASURY MANAGEMENT

  • Monitor bank account activity
  • Work closely with the Financial Analyst to reconcile bank and investment accounts monthly
  • Assist the Chief Financial Officer in preparing monthly restricted cash balances related to project grants
  • Working closely with the Accounting Supervisor, ensure daily recording of revenue accurately reflects donor intent and other compliance requirements

 

VENDOR MANAGEMENT

  • Working closely with the Staff Accountant:
    • Review all payments for compliance with company policies and approve final check runs
    • Ensure the 1099 vendor list is current and prepare the 1099 IRS reporting
    • Manage credit and purchase card programs and oversee month-end reconciliations and account payments
  • Manage business account relationships with companies such as Amazon and Walmart
  • Work closely with the Director of Facilities to accurately record relevant vendor activity

 

FIXED ASSETS

  • Working closely with the facilities team and the Financial Analyst, oversee fixed asset additions, dispositions, and construction in progress
  • Assist with the construction in progress analysis when needed
  • Prepare a quarterly fixed asset schedule

 

COMPLIANCE

  • Maintain policies and procedures of the finance department, including annual and periodic review as needed
  • Ensure compliance with federal grant awards per guidance provided in the CFR200
  • Working closely with grant managers and award officers, lead the reimbursement process for federal awards
  • Ensure compliance with document retention policy, working with the Director of Facilities to manage off-site storage

 

PAYROLL

  • In partnership with the Director of Human Resources;
    • Review bi-weekly payroll for accuracy and compliance with company policies
    • Assist in compensation and benefits administration
    • Maintain awareness of changes in state and federal laws that affect payroll
  • Working closely with the Financial Analyst, review and approve payroll journal entries and fees
  • Lead responses to various taxing authorities regarding payroll taxes

 

BUDGET MANAGEMENT

  • Provide budget support to the Chief Financial Officer
  • Help prepare files for the annual budget process
  • Prepare annual G&A allocation to programs
  • Review and approve other relevant allocations as needed
  • Upload the budget into Blackbaud Financial Edge
  • Be available to answer follow-up questions from senior directors and managers

 

COMMUNITY OUTREACH

  • Engage with volunteers in the finance department
  • Willingness to give back to the community through volunteerism and active engagement

 

QUALIFICATIONS / EDUCATION

  • Bachelor’s in accounting with 5 years related experience (Master’s, CPA preferred)
  • Solid planning and organizational skills
  • Commitment to timeliness and accuracy
  • Experience with Blackbaud Financial Edge a plus
  • Proficiency in Microsoft Office a plus
